GoBD archiving software with IDEA audit for Tank & Rast
Initial situation
The 640 service stations and motorway service areas on the German motorway network, much like restaurants and pharmacies, have a very high proportion of customers paying in cash. This brings them under the scrutiny of the tax authorities, as the latter assume that tax-related infringements often occur, particularly in cash transactions.
The problem is exacerbated by the fact that petrol stations and service areas record hundreds of thousands of transactions annually across various till systems, and even the smallest irregularities can lead to substantial back taxes and penalties.
Tax auditors have it easy: they check for GoBD-compliant archiving and analyse the till data using specialised software, which reveals missing receipt numbers or questionable cancellations dating back years.
As a result, even with proper bookkeeping, transactions that are potentially problematic from a tax law perspective are almost always found.
Our solution
How can you obtain the till records from 640 service stations across Germany in one go and manage them in a way that complies with tax regulations in the long term?
Our idea: Drawing on the expertise of our auditors, we are developing a cloud-based digital archive which, as a first step, retrieves the tax-relevant data from all cash registers at petrol stations and service stations nationwide every night and stores it with us in an audit-proof and unalterable format – i.e. in compliance with GoBD – in accordance with the legal requirements for the retention of accounting documents.
In a second step, an automated content check of the transferred data is carried out, similar to the checks performed by tax auditors using their IDEA audit software.
